Therefore, we’re looking for a part-time Admin & Team Assistant (f/m/d) based in Heidelberg to support us on this exciting journey.

In your new role at paretos, you’ll be the backbone of our daily operations, ensuring that everything runs smoothly and efficiently. You’ll handle a variety of administrative tasks, from organizing schedules and managing office supplies to coordinating meetings and events. You’ll work closely with our team to maintain a productive work environment, assist with onboarding new employees, and manage communications with external partners. By supporting both our leadership and wider team, you’ll play a vital role in helping paretos grow and achieve its ambitious goals.

  • All-Round Support: Serve as the go-to person for administrative tasks, supporting the team with various organizational needs.
  • Office Management: Coordinate and manage office operations, handle office supplies, and ensure a well-functioning work environment.
  • Scheduling and Travel Management: Plan and organize appointments and business trips for the team.
  • Event Coordination: Assist in planning and executing internal and external events and meetings.
  • Point of Contact for External Partners: Handle communication and service requests, and coordinate with service providers.
  • HR Support: Handle administrative tasks like organizing onboarding processes and supporting recruitment activities.

Requirements

  • Experience: Previous experience in an administrative or assistant role, ideally in a dynamic environment like a startup or tech company.
  • Organizational Skills: You work in a structured way, pay attention to details, and have strong time management skills.
  • Communication Skills: You’re a natural communicator and fluent in both German and English, written and spoken.
  • Hands-on Mentality: Flexible, proactive, and ready to jump in wherever support is needed.
  • IT Savvy: Proficient in standard office applications, with experience in project management tools and CRM systems being a plus.
