Our vacancy
The International Project Acquisition / Tender Management Team together with our technical departments, prepares Expressions of Interest (EoI / PQ) as well as technical and financial bids for international donor tenders (KfW, GIZ, EU, WB, ADB and others). The team coordinates the bidding process both in terms of company information and project staff. The Tender Managers ensure that the tender preparation is of the highest standard and meets the set deadlines.
Your Core Tasks in this Position
- Analysis of tender documents (Terms of Reference / ToR) regarding administrative and organisational requirements
- Coordination of the EoI/tender team including deadlines
- Communication with national and international partner companies, financiers, clients and project staff
- Responsible for preparation and receipt of all administrative documents and their accuracy
- Writing (non-technical) bid components (e.g. description of project staff, quality management, logistics) in the project language;
- Formatting documents using MS Office products, taking into account the highest quality standards;
- Compiling and sending the final EoI/quotation documents.
- Completed commercial training or training in foreign languages (e.g. Foreign Language / European Assistant);
- Very good language skills:
- English (very good to excellent oral and written language skills);
- French (very good to excellent oral and written language skills);
- Other languages (German, Spanish, Portuguese would be a plus)
- Relevant professional experience in the field of team / project assistance, secretarial work or similar
- Excellent Microsoft Office skills (Word/Excel including working with large documents and graphics), MS Teams
- Excellent communication and time management skills
- Organizational skills, especially when working under time pressure
- Independent working style and sense of responsibility
- Flexibility and team player mentality
- Open, confident and communicative personality
- Experience in acquisition support / tender management in international development cooperation would be a plus.
