We are looking for an experienced and committed Executive Assistant (all genders) at our Technology & Innovation Center in Aachen to support our Leadership Team by taking on organizational, administrative and coordinative tasks to ensure smooth business operations. For this key role, we are looking for a dynamic person who has their own ideas for improvements and can drive them forward. The main focus of the job will be to manage our office organization and to provide support in project management and administration. You will be part of Leadership meetings and take responsibility for the minutes of the meetings and the follow-up measures. Our Leadership Team relies on this key position for organizational and communication skills and would like to benefit from it as a central source of information for important business decisions.
  • Assistant to the Leadership Team (management of agenda and appointments, capturing and providing meeting minutes, coordination and follow-up on meetings and decisions).
  • Full responsibility for the office organization and administration including hosting meetings such as the “All Company Update”.
  • Project management support (reporting, monitoring of timelines and deliverables) and project administration and documentation (meeting coordination, agenda, meeting minutes, follow-up) for various projects throughout the company.
  • Coordination and arrangement of internal and external meetings, travel and conferences.
  • General administrative work and NDA management.
  • Independent management of selected initiatives and projects such as the implementation of a companywide Intranet.
  • Autonomous coordination with our IT service provider.
  • Supporting the team in conducting research and creating presentations.
  • Communication with customers and business partners (telephone and e-mail).

You are a highly structured and solution-oriented person who is able to multitask and gets really excited about working in a fast-paced and intercultural environment? You have excellent communication and project management skills and want to play an active role in a growing biotech company while gaining valuable insight into operations and decision-making processes by supporting management and executives?   • As our dream candidate you combine the experience of a Team or Executive Assistant with the dynamics and organizational skills of a Project Manager. You have great communication skills which you use to keep close contact with all relevant stakeholders while monitoring risks and timelines. You take responsibility for your working areas, love to work in a team and to provide constructive feedback. You get excited about changes and improvements in a fast-paced environment. This job will suit you best if youare a diplomatic, very structured person who anticipates challenges and develops your own solutions.
  • bring at least 5 years of relevant experience as PMO, Office Manager, Executive Assistant or in a similar position. Background in Lifesciences or Pharma related industries is considered a plus.
  • have excellent communication skills and a very good feeling for the German and English language (C2 level), written and spoken.
  • have an excellent process oriented and analytical understanding and have a good self-organization.
  • have very good project management skills, a certification is considered a plus.
  • enjoy working on strategic topics but also like administrative as well as creative tasks (e.g. creating well-designed, content-coordinated and target group-oriented presentations and other documents).
  • are very confident in using MS Office and project management tools.
  • have the ability to take and provide constructive feedback.
  • love to work with people from different functions and cultural backgrounds and embrace this diversity.
