Description
Ralph Appelbaum Associates (RAA) is seeking a full-time Studio & Community Manager to join our award-winning Berlin studio — a close-knit, interdisciplinary team that for the past decade has collaborated with leading museums and cultural institutions across Europe to shape powerful public experiences. This is a multifaceted and highly visible role at the heart of studio life, ideal for a proactive, people-centered professional who thrives in a creative environment and is passionate about building strong culture and operations from the inside out.
As Studio & Community Manager, you’ll be the connector and caretaker of our Berlin office — ensuring smooth day-to-day operations, coordinating across international teams, supporting HR and administrative processes, and cultivating a vibrant, inclusive studio culture. You’ll be trusted to wear many hats: office manager, community builder, culture champion, problem solver, and key liaison across departments and time zones.
- Foster a positive and inclusive studio culture through initiatives, event planning, staff engagement, and community-building efforts
- Oversee daily studio operations, including facilities management, vendor coordination, procurement, and front-desk duties; support calendar scheduling and executive assistance
- Under the direction of the NY People Operations team, act as the first point of contact for employees’ local HR-related inquiries, supporting onboarding/offboarding, payroll documentation and helping with German proformas, recruitment coordination, and performance review processes
- Assist with local policy compliance and track staff time off, travel, and holidays in coordination with studio leadership and the London office
- Assist the Commercial Director in tracking and processing studio finances related to vendors, expenses, accounts payable, and appropriate record-keeping
- Support project and marketing efforts through proposal preparation, document filing systems, and internal knowledge-sharing
- Coordinate IT needs in partnership with internal and external providers, including hardware/software support, system access, and platform usage (Google Workspace, Slack, VOIP, Deltek)
- Create, maintain, and update an office handbook
- Ensure a safe, well-maintained work environment by leading health and safety procedures and managing infrastructure, equipment, and sustainability programs
- Act as an ambassador for the RAA Berlin studio, often as the first point of contact for clients and third party collaborators
- May perform other duties as assigned
We’re looking for someone who is resourceful, solutions-oriented, deeply organized, and energized by working with creative people. This is a rare opportunity to shape the daily rhythm, team spirit, and operational excellence of a leading design studio.
- At least three years of experience of proven office, studio, or operations management (creative industry preferred)
- Knowledge of office management responsibilities, systems, data, and administrative management practices and procedures
- Excellent time management skills and commitment to flexibility
- Ability to multitask and prioritize work
- Ability to work with little or no supervision
- Highest standards of personal and professional integrity
- Collaborative and inclusive work style
- Ability to work both independently and as part of a team
- Excellent written, verbal, and interpersonal communication skills
- Strong organizational, multi-tasking, and time management skills
- Proactive approach to task management with excellent problem-solving skills
- Strong attention to detail
- Familiarity with standard IT equipment
- Proficiency in Google Workspace and/or Microsoft Office Suite
- Knowledge of Deltek VantagePoint Personnel Management Software a plus
- German as primary language (written and spoken)
- English language proficiency (written and spoken minimum C1)
